Submitting documents

For optimal processing by Yuki, it is recommended that you submit the invoices before submitting the bank transactions.

Submitting per administration

If more than one administration is managed within your domain, you must submit the documents separately for each administration. It is also recommended to organize the documents by type before submission — for example, submit all sales invoices first, followed by all purchase invoices.

Uploading

Uploading means transferring files from your computer (hard drive) into your Yuki domain. The central place to upload files is via the Yuki Inbox.

Dropbox or Google Drive integration

An alternative submission method is via Dropbox and/or Google Drive. Both are (in their basic versions) free cloud storage services.
If you already have Dropbox or Drive, you can create a folder in your account and share it with dropbox@yuki.be (for Dropbox) or support@yukisoftware.be (for Drive).

Once the shared folder has been accepted by Yuki, we will create several subfolders under the main folder that reflect the structure of your digital archive (Dropbox only).
When you place documents in these folders, Yuki will automatically retrieve and import them into the correct folder.

For more information about sharing these folders and how the integration works, please refer to the article “Dropbox and Google Drive.”

Emailing documents to your administration

You can also send (or have others send) documents by email.
Your domain has its own unique email address: domainname@yukiworks.be.

If you have suppliers who send their invoices electronically, you can choose to have them send the invoices directly to this email address.

Yuki Assistant app

With the Yuki Assistant app, you can submit documents (such as receipts and invoices) directly for processing in your administration.

For a detailed description, please see the article “Submitting Documents via the Yuki Assistant.”

Scanning

Depending on your scanner, there are several options for submitting documents:

  • Some scanners have an email function that allows you to send scanned documents directly to the @yukiworks.be email address of your Yuki administration.

  • You can save scanned documents in a shared Dropbox or Google Drive folder. Yuki will automatically retrieve these files and prepare them for processing in your administration.

  • You can save scanned documents on your computer’s hard drive and then upload them manually to Yuki.

You may submit documents in JPG or PDF format.
For PDF files, it is important to submit one invoice per PDF, as Yuki cannot split PDF files afterwards.
